The Impact of Digital Tools on Secretarial Efficiency in Corporate Administration

Thesis Abstract

This study examines the influence of digital tools on the efficiency of secretarial functions within corporate administration, addressing the growing reliance on technology to streamline administrative processes and enhance organizational productivity. Despite widespread adoption of digital platforms such as document management systems, calendar applications, and communication tools, little empirical evidence exists regarding their measurable impact on secretarial performance and organizational outcomes. The primary aim is to evaluate the extent to which digital tools contribute to improving efficiency, accuracy, and responsiveness among secretarial staff in corporate settings, with specific objectives to identify key digital tools utilized, assess perceived improvements in efficiency, and explore associated challenges and barriers faced by secretaries in integrating technology into daily activities. The research adopts a descriptive correlational design, grounded within the Information Systems Success Model and the Theory of Technological Acceptance (TAM), to investigate relationships between digital tool usage and secretarial efficiency. The target population comprises secretarial staff and administrative officers in 50 medium to large corporations operating in the financial and manufacturing sectors within the metropolitan area. A stratified random sampling technique was employed to select a sample of 200 secretaries across these organizations to ensure representativeness and diversity. Data collection instruments include a structured questionnaire developed after a thorough review of existing measurement tools, incorporating Likert-scale items on digital tool utilization, perceived efficiency gains, and organizational support. The validity of the instrument was established through expert review and pilot testing, yielding a reliability coefficient (Cronbach’s alpha) of 0.89. Quantitative data were subjected to descriptive statistics (mean, standard deviation) to summarize digital tool usage and efficiency perceptions. Inferential analysis involved multiple regression analysis to determine the predictive power of digital tool usage on secretarial efficiency, with additional analyses such as ANOVA used to compare efficiency levels across organization types. The analytical framework also integrated factor analysis to validate the measurement constructs and structural equation modeling (SEM) to test the relationships proposed by the theoretical models. Expected findings indicate a positive correlation between digital tool adoption and secretarial efficiency, with tools such as scheduling software and document automation significantly enhancing responsiveness and accuracy. The study anticipates identifying key barriers to effective digital integration, including inadequate training, resistance to change, and technical infrastructure deficits. These findings will contribute new empirical evidence to the sparse literature on the digital transformation of secretarial roles, advancing understanding of how information systems and technology acceptance influence administrative performance in contemporary corporate environments. The research principally contributes to the body of knowledge by contextualizing theoretical frameworks within the realm of secretarial work, providing an evidence-based assessment of digital tool efficacy, and offering insights for organizational policymakers on enhancing administrative support functions through targeted technological interventions. The study concludes that strategic investment in digital literacy and infrastructure is essential for maximizing the benefits of technology adoption. It further recommends capacity-building initiatives, ongoing staff training, and organizational change management practices as vital measures to overcome implementation challenges. Ultimately, this study advocates for a holistic approach integrating technological, human, and organizational factors to optimize secretarial efficiency. Its findings aim to guide corporate management and secretarial professionals towards best practices in digital tool utilization, fostering agile, efficient, and technology-enabled administrative functions that align with contemporary business demands. Suggestions for future research include longitudinal studies to examine the long-term impact of digital transformation initiatives and qualitative explorations into secretarial perceptions and experiences with technological change in diverse organizational contexts.
