The rapid digitization of workplace communication and coordination has elevated the role of executive secretaries to operate within technologically mediated environments, yet there is limited empirical understanding of how digital collaboration tools influence their productivity. This study addresses the problem of evidence gaps regarding which tools most enhance task efficiency, decision support, and stakeholder management for executive secretaries in contemporary organizations and how contextual factors shape these effects. The aim is to evaluate the impact of digital collaboration tools on executive secretaries’ productivity and to identify mechanisms through which these tools influence performance outcomes. Specific objectives include (1) assessing the relationship between adoption levels of collaboration platforms (e.g., Slack, Microsoft Teams, Google Workspace) and task completion time; (2) examining the effect of real-time document collaboration and calendar synchronization on scheduling accuracy and meeting preparation quality; (3) evaluating perceived digital competence as a moderator of tool effectiveness; (4) exploring differences across organizational size, sector, and tenure of secretaries; and (5) outlining best-practice configurations for maximizing productive use of collaboration tools. A mixed-methods research design comprises a cross-sectional, multi-site field study conducted in 12 organizations across the financial services, professional services, and manufacturing sectors. The target population includes executive secretaries and executive assistants employed in mid-to-large firms (250+ employees). A stratified random sample of 180 participants will be drawn, with proportional representation across sectors and organizational sizes. Quantitative data will be collected via a structured survey instrument measuring tool usage intensity, perceived productivity, task complexity, and digital competence, along with objective metrics such as average task completion time, meeting preparation duration, and calendar accuracy, extracted with organizational consent from productivity dashboards for a six-month retrospective window. Complementary qualitative data will be gathered through 20 in-depth interviews and 6 focus groups with participants and their supervisors to capture nuanced experiences, contextual factors, and workarounds. Validity and reliability will be ensured through instrument pre-testing, Cronbach’s alpha estimation for multi-item scales, and triangulation across survey, administrative data, and qualitative transcripts. Quantitative data will be analyzed using multiple regression to determine the unique contribution of each collaboration tool category (communication, document collaboration, scheduling, and workflow integration) to productivity indicators, with control variables including role seniority, tenure, and organizational size. Hierarchical regression will test moderation by digital competence, while multigroup analysis will explore sectoral differences. A convergent parallel design will integrate quantitative and qualitative results to provide a comprehensive understanding of the mechanisms linking digital collaboration tools to productivity. The study will also apply the Job Demands-Resources (JD-R) theoretical framework and the Technology Acceptance Model (TAM) to interpret findings, with particular attention to perceived ease of use, perceived usefulness, and resource gains. Expected findings include (a) a positive association between higher integration and utilization of collaboration tools and reduced task completion time, faster meeting preparation, and improved scheduling accuracy; (b) differential impacts by sector and organizational size, with larger organizations exhibiting stronger effects due to centralized IT support and standardized workflows; (c) digital competence moderating the strength of tool impact, whereby higher proficiency amplifies productivity gains; and (d) qualitative insights into barriers such as tool fragmentation, information overload, and inadequate training that attenuate potential benefits. The study contributes to knowledge by providing robust, context-sensitive evidence on how digital collaboration ecosystems shape executive secretarial productivity, informing theory on job design and technology adoption in administrative roles. Practical implications include evidence-based guidelines for selecting, configuring, and training around collaboration tools, as well as recommendations for organizational policies that optimize workflow integration, data governance, and continuous professional development for secretaries. The principal conclusion is that strategic deployment and competent use of digital collaboration tools substantially enhance executive secretaries’ productivity when aligned with organizational support, user training, and integrated workflows. Recommendations emphasize targeted training programs, standardized tool suites with interoperable interfaces, and ongoing monitoring of productivity metrics to sustain gains.
