The increasing complexity of administrative tasks faced by executive secretaries in contemporary organizational environments necessitates the integration of automated systems to enhance efficiency, accuracy, and overall operational effectiveness. Despite the proliferation of workflow automation tools, a significant gap persists in the development, implementation, and systematic evaluation of tailored automated workflow systems specifically designed for the nuanced roles of executive secretaries within various organizational contexts. This study aims to design, implement, and evaluate an automated workflow system tailored to meet the distinctive needs of executive secretaries, thereby optimizing their task management, communication processes, and document handling. The specific objectives include analyzing current workflow challenges faced by secretaries, developing a prototype automated system based on user-centered design principles, and empirically evaluating the system’s impact on task efficiency, accuracy, and user satisfaction. The research adopts a mixed-methods approach, combining a qualitative exploratory phase with a quantitative evaluative phase. The qualitative component involves semi-structured interviews with 30 executive secretaries across three corporate organizations to identify common workflow bottlenecks and user requirements. The quantitative phase employs a quasi-experimental design involving a sample of 100 secretaries randomly assigned to control and experimental groups within the same organizations. The experimental group utilizes the developed automated workflow system, while the control group employs traditional manual processes over a period of three months. Data collection instruments include structured questionnaires measuring task efficiency, error rates, and user satisfaction, alongside system usage logs and observational checklists. Validity and reliability of the quantitative instruments are established through pilot testing and Cronbach’s alpha coefficients exceeding 0.85. Moreover, the study aims to identify critical system features and implementation strategies that can facilitate seamless adoption within organizational settings. The contribution to knowledge lies in providing a comprehensive framework for designing context-specific workflow automation systems that are grounded in empirical user requirements and theoretical behavioral models. The research additionally offers insights into the practical implications, challenges, and facilitators of deploying automation tools in secretarial roles, thereby bridging the gap between technological advancement and human factors in administrative work. In conclusion, the study recommends that organizations prioritize user-centered approaches in developing workflow automation tools, emphasizing training and change management to foster acceptance and sustained usage. Future research should explore longitudinal impacts, scalability issues, and integration with existing enterprise resource planning (ERP) systems to further optimize secretarial operations. This study ultimately advances both theoretical understanding and practical application of automated workflow systems tailored for executive secretaries, contributing to more efficient organizational administration and strategic decision-making processes.
