Digital Transformation and Secretarial Efficiency in Banking Sector: A Case Study

Thesis Abstract

The rapid integration of digital technologies into the banking sector has significantly transformed secretarial practices, raising questions about the impact on efficiency and organizational effectiveness. This study investigates the relationship between digital transformation initiatives and secretarial efficiency within a leading commercial bank, aiming to provide empirical insights into how technological advancements influence administrative processes and secretarial roles. The primary objective is to analyze the extent to which digital tools, such as enterprise resource planning (ERP) systems, electronic document management, and communication platforms, enhance secretarial productivity and accuracy. The specific sub-objectives include identifying the key digital technologies adopted by secretarial departments, measuring the perceived improvement in efficiency, and examining the challenges encountered during digital implementation. A descriptive case study research design was adopted to facilitate an in-depth investigation of secretarial functions within the bank. The study targeted the entire population of secretaries and administrative staff in the bank’s headquarters, totaling 150 professionals. Using stratified random sampling, 100 participants were selected to ensure representation across various departments and operational levels. Data collection was carried out through structured questionnaires, comprising Likert-scale items assessing perceptions of technological impact, efficiency metrics, and implementation challenges, complemented by semi-structured interviews for qualitative insights. Validity of the instruments was ensured through expert review and pilot testing, while reliability was tested using Cronbach’s alpha, which exceeded 0.85, indicating high internal consistency. Data analysis involved quantitative techniques—descriptive statistics, Pearson’s correlation, and multiple regression analysis—to determine the strength of relationships between digital transformation variables and secretarial efficiency. Thematic analysis was used to interpret qualitative interview data, providing contextual understanding of digital adoption barriers. It is anticipated that findings will demonstrate a positive correlation between the adoption of digital tools and improvements in secretarial efficiency, including reductions in processing time, error rates, and administrative workload. The study expects to reveal specific digital technologies that significantly predict enhancements in secretarial productivity, aligning with the Technology Acceptance Model (TAM) and the Diffusion of Innovations theory, which underpin the theoretical framework. Additionally, the research aims to identify organizational factors facilitating or hindering digital transformation success. The contribution to knowledge lies in providing empirical evidence on the operational benefits and challenges of digital transformation specifically within secretarial functions in the banking industry, thereby addressing a notable gap in contemporary organizational studies. It advances understanding of how information communication technologies (ICTs) impact administrative efficiencies and offers practical implications for bank management seeking to optimize secretarial roles through digital means. The main conclusion underscores that effective digital transformation is pivotal in elevating secretarial efficiency, which subsequently enhances overall organizational performance. Based on the findings, key recommendations include investing in targeted digital training programs for secretaries, strengthening change management strategies, and selecting user-friendly digital tools aligned with secretarial functions. The study also advocates for continuous monitoring and evaluation of digital initiatives to sustain efficiency gains. This research provides a foundation for further studies exploring digital transformation in other administrative contexts within financial institutions or different industries, encouraging broader investigations into technology-enabled administrative reforms.
