Thesis Abstract

In the contemporary organizational environment, secretarial functions are increasingly challenged by the demand for heightened efficiency and accuracy amidst rapidly evolving technological landscapes. Despite the proliferation of digital tools, many secretarial departments remain reliant on manual processes that often result in delays, redundancies, and errors, thus hindering overall administrative effectiveness. This study aims to design, implement, and evaluate a bespoke digital workflow system tailored to improve secretarial efficiency within corporate settings. The specific objectives include identifying key operational inefficiencies in existing secretarial tasks, developing a digital workflow model that addresses these inefficiencies, and assessing the system’s impact on task completion time, accuracy, and user satisfaction. Employing a mixed-methods research design, the study combines qualitative exploratory phases with quantitative evaluative components. The qualitative phase involves semi-structured interviews and focus group discussions with 20 secretaries and administrative managers from a randomly selected sample of 50 organizations, aimed at identifying prevalent workflow bottlenecks and collecting user requirements. The quantitative phase involves a quasi-experimental pretest-posttest design with a sample size of 100 secretaries drawn from the same organizations, whereby the proposed digital workflow system is implemented. Data collection instruments include validated questionnaires measuring perceived efficiency, task accuracy, and user satisfaction, alongside system usage logs. Validity and reliability of the instruments are established through expert review and Cronbach’s alpha reliability testing, respectively. Data analysis utilizes descriptive statistical techniques to summarize workflow inefficiencies and user feedback, while inferential analysis employs paired sample t-tests and ANOVA to evaluate differences in task completion time and accuracy before and after system implementation. Thematic analysis is conducted on qualitative interview transcripts to contextualize quantitative findings and derive actionable insights. Additionally, regression analysis examines the relationship between system use intensity and efficiency gains, guided by the theoretical framework of the Technology Acceptance Model (TAM) and the Social Cognitive Theory, which underpin user acceptance and behavioral change related to technological innovations in administrative settings. Expected findings are anticipated to demonstrate significant reductions in task completion time, enhanced accuracy rates, and increased user satisfaction following the system’s deployment. The study also expects to identify critical factors influencing system adoption, including perceived ease of use, perceived usefulness, and social support, aligning with TAM constructs. These outcomes are designed to contribute to the academic discourse on digital workflow management within secretarial functions by providing empirically validated models and practical guidelines for implementation. The contribution of this research extends to both theoretical and practical domains by integrating workflow management principles with technological acceptance models, thus offering a comprehensive framework for adoption in secretarial contexts. Practically, the study provides a blueprint for organizations seeking to modernize their secretarial functions through tailored digital solutions, ultimately enhancing productivity and administrative quality. In conclusion, the study underscores the potential of digital workflow systems to transform secretarial practices, advocating for organizational investments in user-centered design and change management strategies. The recommendations include contextualized training programs, continuous system evaluation, and iterative feedback incorporation to sustain efficiency improvements. Future research avenues suggested include longitudinal studies to assess long-term impacts and the exploration of artificial intelligence integration to further optimize secretarial workflows.
