In hybrid organizations, secretarial functions increasingly rely on digital workflows to coordinate information flow, schedule management, and stakeholder communications across on-site and remote teams, yet empirical evidence on the design, deployment, and evaluation of such workflows remains fragmented. This study investigates how digital secretary workflows can be designed, implemented, and evaluated to enhance administrative efficiency, accuracy, and responsiveness in hybrid organizational contexts. The aim is to develop a validated framework for digital workflow design that integrates document routing, meeting orchestration, task prioritization, and knowledge management, while maintaining governance, security, and user acceptance. Specific objectives are (1) to identify functional requirements and non-functional constraints for digital secretary workflows in hybrid settings; (2) to design a modular workflow architecture leveraging process mining, Robotic Process Automation (RPA), and collaborative platforms; (3) to implement a pilot suite of digital secretary workflows in two mid-sized financial services firms with a combined sample of 80 administrative staff and 20 managers; (4) to evaluate impact on throughput time, error rate, user satisfaction, and perceived control over information; (5) to develop a diagnostic framework for continuous improvement and scalability. The research employs a mixed-methods design grounded in the Diffusion of Innovations and Activity Theory frameworks to capture both technical feasibility and social-psycho-cultural adoption factors. The population comprises secretaries, executive assistants, and office managers within hybrid work environments in the financial services sector. A stratified random sample of 100 participants (80 front-line secretarial staff and 20 supervisors) is drawn from two organizations with diverse department mixes. Data collection instruments include (i) workflow performance metrics extracted from digital platforms (e.g., average task completion time, meeting scheduling latency, error rates in document routing), (ii) standardized surveys measuring perceived usefulness, perceived ease of use, trust in automation, and job satisfaction, and (iii) semi-structured interviews and focus groups to capture contextual insights. The study is also expected to reveal critical determinants of user acceptance, such as perceived usefulness, perceived susceptibility to error, and managerial support, moderated by organizational culture and prior digital literacy. The contribution to knowledge is threefold (i) a practical, evidence-based design framework for digital secretary workflows tailored to hybrid work settings that integrates data governance, security, and user-centered design; (ii) an empirical validation of how digital workflows influence administrative performance and worker well-being in hybrid environments, addressing gaps in comparative studies across sectors; and (iii) methodological insights on combining process mining with conventional statistical analyses and thematic inquiry to evaluate administrative automation. Based on the findings, recommendations will address (a) the phased rollout of modular workflow components, (b) governance models balancing automation with human oversight, (c) training and change-management strategies to sustain adoption, and (d) future research directions exploring cross-industry generalizability and long-term impact on organizational agility. The study concludes that well-designed digital secretary workflows can meaningfully enhance efficiency and accuracy in hybrid organizations while maintaining user trust and organizational control, provided that design is anchored in interoperability, security, and continuous learning.
