Design and Evaluate a Digital Archives System for Secretarial Administration Efficiency

Thesis Abstract

The rapid advancement of digital technology has transformed secretarial administration, necessitating efficient and reliable systems for managing archival data to enhance organizational productivity. Despite the proliferation of digital solutions, many secretarial units continue to experience challenges such as misplaced records, slow retrieval processes, and data security concerns, which impede administrative efficiency. This study aims to design and evaluate a digital archives system tailored specifically for secretarial administration to improve document management efficiency, data security, and overall administrative effectiveness. The specific objectives include analyzing current archival practices, developing a user-centric digital system prototype, assessing its usability, effectiveness, and security features, and determining its impact on secretarial workflows. The research adopts a mixed-methods focus, combining qualitative and quantitative approaches to explore existing archival practices and evaluate the system's performance. The quantitative component involves a quasi-experimental design with a pretest-posttest approach, utilizing a sample of 120 secretarial staff selected through stratified random sampling from large corporate organizations. The qualitative component employs thematic analysis of interview transcripts from 20 key secretarial personnel to capture detailed insights into user needs, system usability, and contextual challenges. Data collection instruments include structured questionnaires for quantitative analysis, developed and validated through expert review and pilot testing, and semi-structured interview guides for qualitative insights. The system’s usability and security efficacy will be assessed through usability testing sessions and security audits, utilizing Nielsen’s Usability Heuristics for evaluative criteria and vulnerability scanning tools for security assessment. Data analysis for quantitative data will employ descriptive statistics, paired-sample t-tests to measure efficiency improvements, and multiple regression analysis to establish relationships between system use and organizational performance. Qualitative data will be analyzed using thematic coding with NVivo software, addressing user perceptions, system acceptance, and emerging challenges. The study hypothesizes that the implementation of the digital archives system will significantly improve document retrieval times, increase data security, and positively influence secretarial workflow efficiency, with the expectation verified through statistical significance at p<0.05. Expected findings indicate that the tailored digital archives system will reduce document retrieval times by at least 40%, enhance data security measures, and increase user satisfaction and operational efficiency. The study also anticipates identifying key barriers to system adoption, including staff resistance and infrastructural limitations, which will inform tailored implementation strategies. The findings are expected to contribute to existing knowledge by providing a framework for developing contextually relevant digital archival solutions and demonstrating their efficacy in secretarial contexts. The research aligns with information management theories such as the Information Processing Theory and Technology Acceptance Model (TAM), which underpin the design principles and user acceptance evaluation. The main conclusion emphasizes that a well-designed digital archives system can substantially improve secretarial administrative efficiency when integrated with user-centered design and robust security protocols. The study recommends comprehensive training programs, infrastructural investments, and change management initiatives to facilitate successful adoption. It further suggests the need for ongoing system evaluation and iterative improvements to adapt to evolving organizational needs. Ultimately, this research offers a pragmatic pathway for organizations seeking to leverage digital archives to optimize secretarial functions, thus contributing substantially to the body of knowledge on digital document management and organizational efficiency in administrative contexts.
