The rapid advancement of digital technology has transformed secretarial administration, necessitating efficient and reliable systems for managing archival data to enhance organizational productivity. Despite the proliferation of digital solutions, many secretarial units continue to experience challenges such as misplaced records, slow retrieval processes, and data security concerns, which impede administrative efficiency. This study aims to design and evaluate a digital archives system tailored specifically for secretarial administration to improve document management efficiency, data security, and overall administrative effectiveness. The specific objectives include analyzing current archival practices, developing a user-centric digital system prototype, assessing its usability, effectiveness, and security features, and determining its impact on secretarial workflows. The research adopts a mixed-methods focus, combining qualitative and quantitative approaches to explore existing archival practices and evaluate the system's performance. The quantitative component involves a quasi-experimental design with a pretest-posttest approach, utilizing a sample of 120 secretarial staff selected through stratified random sampling from large corporate organizations.
