Thesis Abstract

Corporate law firms increasingly rely on comprehensive document management systems (DMS) to streamline legal workflows, enhance information retrieval, and ensure compliance with regulatory standards. However, inefficiencies in existing DMS implementations, characterized by disorganized filing structures, inadequate integration with legal practice tools, and inconsistent access controls, hinder operational productivity and compromise legal confidentiality. This study aims to optimize the existing DMS within a leading corporate law firm by identifying key inefficiencies and recommending targeted improvements. The specific objectives include evaluating current document management workflows, assessing user satisfaction and system usability, identifying barriers to efficient DMS utilization, and proposing a model for an optimized document management framework tailored to corporate law practice. A mixed-methods research design was employed, integrating quantitative surveys and qualitative interviews to capture both measurable and experiential data. The study targeted the entire population of 150 legal professionals working within the firm, comprising partners, associates, paralegals, and administrative staff. A stratified random sampling technique yielded a sample of 90 respondents to ensure representation across professional levels. Data collection instruments included a structured questionnaire designed to measure system usability, satisfaction, and perceived challenges, complemented by semi-structured interview guides to elicit in-depth insights into workflow bottlenecks and user preferences. Validity was established through expert review and pilot testing, while reliability was confirmed via Cronbach’s alpha coefficient exceeding 0.85 for the survey instrument. Data were analyzed using descriptive statistics to profile user satisfaction and system performance, and inferential techniques including multiple regression analysis to examine relationships between variables such as system usability, user training, and productivity outcomes. Thematic analysis was applied to qualitative interview data, revealing common themes related to system integration issues, user resistance, and areas requiring customization. The study also applied the Technology Acceptance Model (TAM) to interpret user acceptance factors and the Information Systems Success Model to evaluate system success dimensions. The anticipated findings suggest that inefficiencies stem predominantly from inadequate system integration, limited user training, and non-standardized document classification protocols. Regression analysis is expected to show that perceived ease of use and usefulness significantly influence user satisfaction and system utilization rates. Thematic analysis will likely identify key barriers, including resistance to change and lack of tailored workflows, emphasizing the need for a comprehensive, user-centered DMS redesign. This research makes a substantive contribution to the field of office technology by developing a tailored framework for optimizing DMS in legal practice settings, incorporating theoretical insights from TAM and the IS Success Model. By integrating empirical evidence within a corporate law context, the study provides a nuanced understanding of technology adoption challenges and practical pathways for improvement. Moreover, it underscores the importance of aligning technological solutions with organizational workflows and user needs to enhance legal operational efficiency. The study concludes with a set of strategic recommendations for law firm management, including the adoption of standardized document classification systems, intensified user training programs, and deployment of integrated legal practice management tools. It advocates for ongoing system audits and user feedback mechanisms to sustain continuous improvement efforts. Future research avenues identified include longitudinal studies to evaluate post-implementation impacts of recommended system enhancements and broader comparative analyses across different legal practice environments. Overall, this study aims to demonstrate that targeted technological optimization can significantly enhance document management efficiency, thereby supporting better legal service delivery in corporate law firms.

Thesis Overview

This research focuses on improving how corporate law firms manage their digital and physical documents through the use of Document Management Systems (DMS). Law firms handle a large volume of sensitive legal documents daily, and inefficient management can lead to lost files, delays in casework, security issues, and increased costs. The study aims to identify ways to optimize DMS to make document handling faster, safer, and more reliable, which is essential for increasing overall productivity and maintaining client trust. The research addresses the gap in understanding how current DMS are used in corporate law firms and what barriers prevent optimal use. Many firms either adopt complex systems without fully understanding their capabilities or use manual processes that are inefficient. By exploring these issues, the study seeks practical solutions tailored to law firms' needs, including better workflows, training, and technology adoption. The researcher will follow these steps: First, review existing literature on DMS and legal document management to build a theoretical foundation. Second, select a sample of three prominent corporate law firms with similar sizes and operational structures, aiming for a total of 50 respondents including attorneys, paralegals, and administrative staff. Third, collect data through structured interviews and surveys to understand current practices, challenges, and preferences. Fourth, analyze the data using descriptive statistics, thematic analysis for qualitative data, and regression analysis to identify factors influencing effective DMS use. The expected contribution of the study is a set of practical recommendations for law firms to enhance their document management systems, based on empirical data. The research aims to show how targeted improvements can lead to better document retrieval times, enhanced security, and overall operational efficiency. Ultimately, the study will help law firms implement more effective digital document strategies, reducing manual errors and improving client service. The main outcome will be a framework for optimizing DMS tailored specifically for corporate law environments.
