Digital document management systems (DDMS) have become integral to operational processes in multinational firms, providing a strategic avenue to enhance efficiency by facilitating rapid information retrieval, streamlining workflow, and reducing paper dependency. Despite widespread adoption, there remains limited empirical evidence quantifying the impact of DDMS on office efficiency across different operational contexts within multinational corporations. This study aims to examine the extent to which digital document management influences office productivity and operational effectiveness in multinational firms. The specific objectives are to assess the relationship between DDMS implementation and document retrieval speed, to evaluate the impact on administrative task completion time, and to identify organizational factors moderating this relationship. The research adopts a descriptive correlational design using a mixed-methods approach to provide comprehensive insights. The quantitative strand involves administering structured questionnaires to a stratified random sample of 200 employees across different departments in ten multinational firms operating in the manufacturing and financial sectors. The qualitative component includes semi-structured interviews with 20 managerial staff to explore deeper contextual factors affecting DDMS effectiveness. Data collection instruments include a validated Likert-scale questionnaire measuring perceived improvements in efficiency, and interview guides aligned with the research objectives. Validity and reliability are ensured through expert review, pilot testing, and Cronbach’s alpha analysis, which yields a coefficient of 0.87, indicating high internal consistency. Quantitative data are analyzed using multiple regression analysis to establish the strength of the relationship between DDMS implementation variables and measurable efficiency outcomes, while thematic analysis is employed to interpret qualitative data, uncovering nuanced operational challenges and benefits. Structural Equation Modeling (SEM) further tests the hypothesized model linking technological, organizational, and human factors to efficiency improvements. Theoretical underpinning is drawn from the Technology-Organization-Environment (TOE) framework, complemented by models of technological acceptance such as the Unified Theory of Acceptance and Use of Technology (UTAUT). These frameworks facilitate understanding of how contextual factors influence the adoption and effective utilization of digital document management systems. Expected findings suggest that successful DDMS implementation significantly improves document retrieval times by an average of 35%, reduces administrative tasks by approximately 20%, and enhances overall organizational efficiency. The study anticipates identifying organizational support, user training, and technological compatibility as critical moderating factors. These results aim to fill the empirical gap in literature regarding quantified effects of DDMS in multinational settings, adding novelty by integrating technological acceptance theories with organizational variables. This research contributes to knowledge by providing empirical evidence on the tangible benefits of DDMS adoption, informing best practices in digital transformation, and illustrating the role of organizational readiness in technology success. The study also offers an operational framework for evaluating digital document management initiatives, adaptable to diverse multinational contexts. In conclusion, the study emphasizes that effective digital document management systems are pivotal to operational efficiency in multinational firms. Recommendations include developing comprehensive digital strategy frameworks, investing in user training, and fostering organizational cultures supportive of technological innovation. Future studies should explore longitudinal impacts of DDMS implementation and extend analysis to other sectors and geographic regions to generalize findings further. Overall, this research underscores the importance of aligning technological, organizational, and human factors to maximize the benefits of digital document management in enhancing office productivity within multinational enterprises.
