The rapid advancement of office technology presents significant opportunities for enhancing document management efficiency within healthcare institutions, yet many organizations continue to face challenges related to data disorganization, delayed retrieval processes, and record security breaches. This study aims to evaluate the impact of office technology integration on the efficiency of document management systems in public and private healthcare facilities, with specific objectives to identify current document management practices, assess the extent of technology adoption, analyze the relationship between technology use and document accessibility, and propose a framework for effective technology integration. Employing a mixed-methods research design, the study combines quantitative surveys and qualitative interviews to obtain comprehensive insights. The quantitative component involves a cross-sectional survey of 250 administrative and clinical staff members across five healthcare institutions within a metropolitan area, selected through stratified random sampling to ensure representation across different facility levels. Data collection instruments include structured questionnaires measuring technology adoption levels, document management processes, and perceived efficiency, validated through content and construct validity procedures, and with a reliability coefficient of 0.87 confirmed via Cronbach’s alpha. The qualitative component involves semi-structured interviews with 15 key informants, including hospital administrators, IT personnel, and record-keeping staff, analyzed thematically to explore contextual challenges and best practices. Data analysis for the quantitative data employs descriptive statistics, Pearson correlation, and multiple regression analysis to determine the relationship between technological integration and document management efficiency, while thematic analysis is used for qualitative data to identify recurrent themes and insights. Structural Equation Modeling (SEM) is applied to test the proposed conceptual framework, which integrates the Technology Acceptance Model (TAM) and the Information System Success Model to posit that perceived ease of use, perceived usefulness, and system quality significantly influence document management effectiveness. Expected findings suggest a positive correlation between the level of office technology adoption and improvements in document retrieval speed, accuracy, security, and overall management efficiency. The regression analysis is anticipated to reveal that system usability and management support are significant predictors of successful technology integration. The thematic analysis is expected to highlight key barriers such as inadequate training, infrastructural limitations, and resistance to change, alongside facilitators like leadership commitment and staff competency. This study will contribute to scholarly understanding by providing empirical evidence on the role of office technology in streamlining health record management, extending existing information systems literature into the healthcare context. It will develop a validated framework for effective technology integration tailored to healthcare settings, addressing gaps related to contextual application and implementation strategies. The main conclusion emphasizes that strategic integration of office technology significantly enhances document management efficiency, thereby contributing to improved healthcare service delivery and administrative operations. Based on the findings, the study recommends targeted capacity-building initiatives, investment in robust technological infrastructure, and a change management approach emphasizing stakeholder engagement. The research also suggests avenues for future studies, including longitudinal assessments of technology impact and explorations of specific technological tools such as Electronic Health Records (EHR) and cloud-based storage systems. This contribution aims to guide healthcare policymakers and administrators in adopting best practices for digital record management, ultimately fostering more efficient, secure, and accessible healthcare documentation systems.
