In contemporary office environments, the management and retrieval of digital documents remain critical challenges that impede organizational efficiency and productivity. Many offices continue to rely on traditional manual systems, resulting in delayed access, increased operational costs, misplacement of critical documents, and reduced workflow agility. Addressing these issues necessitates the development of effective digital solutions to streamline document handling processes. This study aims to design, implement, and evaluate a comprehensive digital document management system (DDMS) tailored for office contexts to enhance operational efficiency. The specific objectives include assessing existing document handling practices, designing a user-centered DDMS prototype, evaluating its usability, and measuring its impact on office productivity. Employing a mixed-methods research design, the study integrates qualitative and quantitative approaches to generate robust findings. The researcher adopted the pragmatism paradigm to facilitate a comprehensive understanding of user requirements and system performance. The population comprised office staff and administrators from twenty government offices within a metropolitan city, with a total population of approximately 500 employees. It recommends broader adoption of tailored DDMS solutions, comprehensive staff training programs, and iterative system improvements based on user feedback. Future research avenues include exploring integration with cloud-based platforms, mobile accessibility, and cross-organizational interoperability to further enhance the scalability and flexibility of digital document management systems.
